Overview

Settings page overview

Click Settings in the left sidebar to open the Field Configuration page. The page is divided into several cards that stack vertically — scroll down to reach each section. All changes auto-save unless a Save button is shown explicitly.

Open Settings

Click Settings in the left sidebar. Only Admin accounts see this link — it is hidden from User and Professional roles.

Features

Global on/off switches for each portal module. A module must be enabled here before it can be granted to users via Module Permissions.

Module Permissions

A table controlling which roles (User, Professional) can see each enabled module in their sidebar. Requires a Save Permissions click to apply changes.

CRM Modules

Sync Zoho CRM modules, enable them for the portal, and configure the field that links each CRM record to a portal contact. Only visible when the CRM feature is on.

Field Permissions

Granular control over which CRM fields are visible or editable per role. Each field can be set to Read, Write, or Hidden for each role independently.

Role Access

Assign Analytics dashboard views to specific roles. Only visible when the Analytics feature is on.


Features

Features — enable & disable modules

The Features card is the master switch for each module. Toggling a feature OFF immediately hides that module from all users regardless of their individual permissions. Toggling it ON makes it available again. Changes auto-save — no button press required.

Toggle ON (teal)

The module is available to your organization. Users still need access granted via Module Permissions before they can see it in their sidebar.

Toggle OFF (gray)

The module is completely hidden from all users, regardless of individual permissions. No data is deleted — the module can be re-enabled at any time.

Enabling a feature here is Step 1 of 2. Each module also requires access to be granted in the Module Permissions table before users will see it in their sidebar.

Module Permissions

Module Permissions — role-level access

The Module Permissions table sits below the Features card. It determines which roles can see each module in their sidebar. After making changes, click Save Permissions to apply.

My Info — always enabled

The My Info page shows a user’s own CRM contact record and is always on for all roles. It cannot be toggled off.

Toggle access per role

Click any toggle to grant or revoke that module for that role. Teal = access on, gray = access off. Individual users can still have per-user overrides set from the Users page.

N/A cells

Some role/module combinations are locked by design — for example, the Professional role cannot access Invoices or Support. These cells show N/A and cannot be toggled.

Save Permissions

Click to apply all changes in the table. Unlike feature toggles, module permission changes are not applied until you explicitly click Save.

⚠️
Admin accounts are excluded from all user-facing modules by design. Admins will not see Invoices, Support, Documents, Signatures, or Analytics in their sidebar — these pages are intended for clients.

CRM Modules

CRM Modules — Zoho CRM configuration

When the CRM feature is enabled, the CRM Modules card appears on the Settings page. This is where you sync modules from Zoho CRM, enable them for the portal, and choose which field links a CRM record to a portal contact.

Sync from Zoho

Click this button to pull the latest module list and fields from your Zoho CRM account. Run this whenever you add new modules or custom fields in Zoho CRM so they appear here.

Enabled toggle

Turn a CRM module on or off for the portal. Only enabled modules appear as tabs in the user’s CRM view. My Info is always on and cannot be disabled.

Lookup Field

Select the CRM field that links records in this module back to a contact. For example, Accounts might use Email or Contact Owner to associate account records with the right portal user.

Disabled module

Modules with the toggle off show a grayed-out row. No lookup field selection is needed until the module is enabled.

Field Permissions

Field Permissions — field-level access control

The Field Permissions section lists every CRM field for each enabled module. For each field you can set whether the User and Professional roles can see it, edit it, or are hidden from it entirely.

Module tabs

Each enabled CRM module has its own tab. Click a tab to switch between modules and configure fields for each one independently.

Enabled toggle

Controls whether the field appears in the portal at all. Fields with the toggle off are hidden from everyone regardless of role access settings.

Access level dropdowns

Set the access level per role independently:

  • Read — user can see the field value but cannot edit it.
  • Write — user can see and edit the field value.
  • Hidden — field is not visible to that role at all.

Field permission changes auto-save as you make them — there is no separate Save button for this section.

Role Access

Role Access — analytics view assignment

The Role Access card appears at the bottom of the Settings page when Analytics is enabled. Use it to control which Analytics dashboard views are visible to each role.

Assigned views

Each teal pill represents an Analytics view already assigned to that role. Users with that role will see these dashboards in their Analytics page. Click the × on a pill to remove a view from the role.

Add View

Click + Add View to assign a new Zoho Analytics dashboard to that role. You’ll be prompted to paste the share URL from Zoho Analytics — the portal generates an embed link automatically. Each view can be assigned to multiple roles independently.
