For Admins

Who this guide is for

  • Portal administrators
  • Anyone with the Admin role

What you’ll learn

  • How to enable the Zoho Analytics feature
  • How to add views by URL
  • How to assign views to specific roles
Step 1 of 3

Enable the Analytics Feature

Analytics is controlled by a toggle in Settings → Field Configuration → Integrations. Enabling it also auto-detects your Zoho Analytics organization, which is required before views can be added.

Field Configuration page showing the Zoho Analytics toggle The portal Settings page displaying an Integrations card with three rows: Zoho Desk Support (dimmed), Zoho Analytics (highlighted with an orange border), and Zoho Projects (dimmed). Three numbered callouts indicate: 1 the Settings sidebar item, 2 the Zoho Analytics row, and 3 the toggle switch. app.getventana.com/portal/field-config Ventana Users Settings Billing Field Configuration Manage integrations, features, and field settings. INTEGRATIONS Zoho Desk Support Enable the Support module for ticket submission. Zoho Analytics Embed analytics dashboards and reports. Zoho Projects Let users view assigned project progress and tasks. 1 2 3
1

Open Settings

Click Settings in the left sidebar. This takes you to the Field Configuration page where all integration toggles live.

2

Find the “Zoho Analytics” row

Scroll to the Integrations card. Locate the row labeled Zoho Analytics with the description “Embed analytics dashboards and reports.”

3

Flip the toggle to ON

Click the toggle on the right side of the row. It turns teal when enabled. The system will automatically detect your Zoho Analytics organization in the background.

ℹ️
When you enable Analytics for the first time, the backend silently detects your Zoho Analytics org ID. If you see an error when adding views later, try toggling Analytics off and back on to re-run that setup step.

Step 2 of 3

Add Views by URL

After enabling Analytics, an Add a View form appears directly below the Zoho Analytics toggle. Paste the URL of any Zoho Analytics view — the portal makes it embeddable and stores the link automatically.

Add a View form below the Zoho Analytics toggle in Field Configuration Settings page showing the Zoho Analytics toggle enabled, and below it an Add a View sub-form. The form has a URL input field, a display name input, and an Add View button. Below the form is a list of two already-added views. Three callouts: 1 points at the URL input from the sidebar, 2 points at the Add View button, and 3 points at the added views list. app.getventana.com/portal/field-config Ventana Users Settings Billing Field Configuration Manage integrations, features, and field settings. 1

Paste the view URL

Open the view in Zoho Analytics and copy its URL from your browser’s address bar. Paste it into the first input field. The system extracts the workspace and view IDs automatically.

2

Click “Add View”

Optionally type a friendly display name in the second field (e.g. “Sales Dashboard”). Then click Add View to save it.

3

Confirm the view appears in the list

Added views appear below the form. Repeat for as many views as needed. To remove a view, click Remove next to it.

⚠️
Newly added views are visible to admins only by default. Users and professionals won’t see the Analytics tab in their sidebar until you assign views to their roles in Step 3.
ℹ️
To find a view’s URL: open it in Zoho Analytics. The URL will contain /open-view/ followed by the workspace and view IDs. Paste it directly — no reformatting needed.

Step 3 of 3

Assign Views to Roles

Navigate to the Role Access tab in Settings. An Analytics View Access card lets you choose which views each role can see. Roles with no assigned views will not see an Analytics tab in their sidebar.

In Settings, open the Role Access tab. Scroll to the Analytics View Access card and click Assign Views next to the role you want to configure.

2

Review already-assigned views

Views already assigned to the role show a teal border. Click Remove to revoke access for that view.

3

Click “Assign” to grant access

Click Assign next to any unassigned view to add it to the role. Changes save immediately. Close the modal and repeat for other roles as needed.

ℹ️
A role only sees the Analytics sidebar link if at least one view is assigned to it. Roles with no assigned views will see no Analytics option in the portal.
