User Guide

View your contact information and CRM records directly inside the Ventana portal.

For Users

Who this guide is for

  • Portal users with the User role
  • Anyone whose admin has enabled the CRM integration

What you’ll learn

  • How to navigate to your CRM data
  • How to view and edit your contact info (My Info)
  • How to browse records in other CRM modules
Step 1

Navigate to the CRM

Your CRM data lives under the CRM entry in the left sidebar. Hovering over it opens a flyout menu where you can jump to My Info or any other module your admin has enabled.

To the right, a flyout panel shows My Info highlighted in teal, with Accounts and Deals below it. Two callouts indicate the CRM sidebar item and the My Info flyout option. app.getventana.com/portal/my-info Ventana CRM Invoices Documents Support My Info page loads here My Info Accounts Deals 1 2

Hover over “CRM” in the sidebar

Move your cursor over the CRM entry in the left sidebar. A flyout menu opens to the right, listing every CRM module your admin has enabled — at minimum, My Info is always there.

2

Click a module to open it

Click My Info to view your own contact record, or click any other listed module (Accounts, Deals, etc.) to see your related records in that module.

Step 2

View and Edit Your Info

My Info shows the fields from your Zoho CRM contact record that your admin has enabled. Fields marked editable can be updated directly in the portal — changes sync back to Zoho CRM automatically.

My Info page showing editable and read-only contact fields A card shows five contact fields. First Name is highlighted in orange with a pencil edit icon — editable. Email is highlighted with a lock icon — read-only. Two callouts indicate the editable field and the read-only field. app.getventana.com/portal/my-info My Info FIRST NAME John LAST NAME Doe EMAIL john.doe@acme.com 🔒 PHONE +1 (555) 123-4567 COMPANY Acme Corporation 🔒 1 2

Edit fields marked with a pencil icon ✎

Fields your admin has set to Write show a pencil icon on the right. Click the icon (or the field value itself) to enter edit mode, make your change, and save. The update syncs to Zoho CRM immediately.

2

Read-only fields show a lock 🔒

Fields marked read-only cannot be edited in the portal. If a value needs to be updated, contact your admin — the field may be locked in Zoho CRM or restricted to admin-only edits.

ℹ️
The fields you see depend on what your admin has enabled. If a field you expect to see is missing, it may have been hidden — reach out to your admin to request access.

Step 3

Browse Other CRM Modules

If your admin has enabled additional modules — such as Deals or Accounts — they appear in the CRM flyout alongside My Info. Each module shows records that are linked to your contact in Zoho.

Deals module table showing linked records from Zoho CRM A table lists three deals: Website Redesign in Proposal stage, CRM Implementation Closed Won, and Support Renewal in Negotiation. The Stage column is highlighted. Two callouts indicate the Stage column and the View button. app.getventana.com/portal/crm/deals Deals DEAL NAME STAGE AMOUNT CLOSE DATE Website Redesign Proposal $25,000 Jun 30, 2026 View → CRM Implementation Closed Won $48,000 May 15, 2026 View → Support Renewal Negotiation $12,500 Jul 31, 2026 View → 1 2

Each row is a linked record from Zoho

The table shows only records from Zoho CRM that are linked to your contact — you won’t see records belonging to other users. The fields shown and their edit permissions are set by your admin.

2

Click “View →” to see full record details

Clicking a row or the View → button opens the record’s detail page, showing all enabled fields. Writable fields can be edited from there in the same way as My Info.

💡
Only modules your admin has enabled appear in your CRM flyout. If you expect to see a module that isn’t there, ask your admin to enable it in Field Configuration.
